Situation

Stepstone Group, one of the largest job advertisement companies in Europe, needed an integrated internal application to manage their extensive operations. The existing system was fragmented, with stakeholders using multiple internal applications for tasks such as budget allocation, client management, user management, and listing quality checks. This fragmentation led to inefficiencies in management processes and errors due to data inconsistencies across several different applications.

Task

The goal of the project was to consolidate these functions into a single, cohesive internal application called Global Internal Tooling. The new application aimed to streamline processes, reduce redundancy, and improve data consistency across various modules: Company Structure, User Management, Listing Lookup, Listing Quality Check, and Service Hub Authentication. This was a highly demanding task, with many advanced functionalities that needed to be integrated into one system.

Actions

As the sole UX and UI designer on the project, I was responsible for designing over 300 screens and creating interactive prototypes in Figma. My tasks included:

  • Designing all application screens and creating high-quality prototypes in collaboration with two exceptional product managers who brought invaluable expertise and immense passion to the project. Their professionalism and dedication were crucial to the project’s success.
  • Participating in sprints and meetings with two dedicated development teams.
  • Attending meetings with stakeholders to discuss functional requirements.
  • Presenting prototypes and gathering feedback from stakeholders alongside the product managers.
  • Creating project documentation for developers.

Key designed functionalities:

  • Company Structure: The starting module where users can find workspaces, groups, and banks, or import clients from other systems.
  • Groups: Manage and import clients, manage users, and move workspaces between groups.
  • Workspaces: Transfer to other groups, add users, and unlink users.
  • Banks: Manage budgets, create child banks, generate transaction reports, and link/unlink workspaces.
  • Media Agencies: Special workspaces managing listings on behalf of other workspaces, creating mirror workspaces.
  • User Management: Manage users, add them to workspaces, and handle user-related tasks.
  • Listing Lookup: Search for listings and open them in external applications.
  • Listing Quality Check: Filter listings, check their accuracy, report preparation and review change history.
  • Service Hub Authentication: Assign permissions to operators and operator groups.

Result

The first phase of the project was successfully completed, laying a solid foundation for further development. The application is ready for the migration of functions from other systems. Stakeholders and the Stepstone team were extremely satisfied with the results, praising the professionalism and passion of the teams involved. The project was highly demanding and challenging, but thanks to the teamwork - especially the support of the incredibly competent product managers - everything went smoothly and the project was completed on time. This project is the first application designed based on Step Stone’s new design system, marking a significant step forward for the company. Working with the Step Stone team was immensely rewarding, and their enthusiasm and professionalism were key to achieving this success.
